We have an opening for Accounting Specialist in our Syracuse office.
As an Accounting Specialist at Prudent Engineering, you will play a crucial role in maintaining the financial health and integrity of our organization. You will be responsible for a variety of accounting tasks and will work closely with the finance team to ensure accurate and timely recording of financial transactions. The ideal candidate will possess a keen attention to detail, strong analytical skills, and a solid understanding of accounting principles and practices.
What you'll be able to do:
- ****Billing Coordination: Collaborate with various departments, such as sales, finance, and operations, to obtain necessary information for invoice creation and resolve any discrepancies.
- Data Entry: Enter and update customer information, sales data, and billing details into the invoicing system accurately and efficiently.
- Review and Verification: Perform thorough reviews of invoices for accuracy, completeness, and compliance with company policies and customer requirements.
- Dispute Resolution: Investigate and resolve billing inquiries, disputes, and discrepancies promptly and professionally, ensuring customer satisfaction.
- Relationship Management: Communicate with clients and internal stakeholders regarding invoice-related matters, providing exceptional customer service and building strong relationships.
- Reporting and Analysis: Prepare periodic reports on billing activities, outstanding balances, and aging analysis to support financial decision-making processes.
- Process Improvement: Identify opportunities to streamline and improve the invoicing process, suggesting and implementing effective solutions to enhance efficiency and accuracy.
- Documentation: Maintain proper documentation of invoice-related activities, including correspondence, adjustments, and any other relevant records.
- Compliance: Ensure compliance with applicable regulations, laws, and company policies related to billing and invoicing.
The minimum requirements we seek:
- High School Diploma or equivalent; associate or bachelor's degree.
- Strong numerical aptitude and attention to detail, with the ability to analyze and interpret financial data accurately.
- Proficiency in using accounting software and invoicing systems; knowledge of ERP systems is a plus.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Exceptional communication skills, both written and verbal, with the ability to effectively interact with clients and internal stakeholders.
- Problem-solving and critical-thinking abilities, with a proactive approach to resolving issues.
- Strong customer service orientation and a commitment to providing outstanding service to clients.
- Ability to work independently as well as collaboratively within a team environment.
- Proficiency in Microsoft Office Suite, particularly Excel, for data entry, analysis, and reporting.
