    Position Overview: The Accounting and Operations Coordinator plays a vital role in supporting the financial and operational functions of our organization. This role will be responsible for managing all aspects of accounts receivable, insurance billing, parts of operational logistics such as shipping, and ensuring that payments are processed efficiently and accurately. Additionally, the coordinator will assist with travel logistics and various administrative projects to support our growing team.

    Key Responsibilities:

    Accounts Receivable:

    Process monthly payments for clients on payment plans and lump sum payments for clients paying in full.

    Bill state scholarship and ESA funds for services and track to ensure all payments are received in a timely manner.

    Handle collections for bounced checks and declined credit cards.

    Insurance Billing and Documentation:

    Submit and track insurance claims and documentation for clients using insurance, HSA, FSA, and grants.

    Complete preauthorization calls to insurance providers as needed.

    Generate and provide financial documentation and receipts for clients for a variety of purposes.

    Operations and Logistics:

    Monitor shipping and logistics for sending materials to clients and staff.

    Organize and file electronic receipts, ensuring all company credit card purchases have corresponding receipts and tracking down any missing receipts.

    Assist with reconciling accounts and answering questions from the bookkeeper.

    Enrollment Processing:

    Process paperwork and update systems for new enrollments, ensuring accurate and timely information is captured.

    Travel Coordination:

    Book flights and hotels for staff traveling to conventions and events.

    Monitor travel arrangements to ensure seamless logistics.

    Support for Director:

    Assist the director with accounting-related projects, such as ensuring receipt of scholarship funds and handling special projects related to financial operations.

    Qualifications:

    Strong background in the clerical side of accounting, billing, and financial operations.

    Experience with accounts receivable and/or insurance billing is preferred.

    Exceptional organizational skills with attention to detail.

    Ability to handle multiple responsibilities and prioritize effectively in a remote work environment.

    Experience with logistics coordination, including booking travel.

    Proficiency with online financial and project management systems.
