Location note: This position is primarily remote but may require in-person meetings 3-4 time per year in SW Houston.
Accounts Administrator -
· Responsible for AR/AP functions
· Accurately files and scans accounting documents
· Performs data entry and filing tasks for accounts payable, accounts receivables, purchase orders, equipment inventory, and confidential departmental files
· 3-way PO matching and non-PO invoice processing
· Customer Invoicing – create and email invoices to customers
· Maintain accurate historical records for both
· Knowledge of the General Accepted Accounting Principles (GAAP) to include general journal entries, accounts payable and accounts receivable
· Work closely with office and field operations to track change orders, purchase orders, revisions, and job closures
· Set up and maintain project scheduling documentation files and records – on schedule and into SP folders
· Update and maintain internal databases and tracking systems
· Capture all time and materials for each job – Reasons for Change Orders
· Work with office to close out jobs within 5 days of completion
· Continuously follow up on PO and invoicing status
· Send follow-up emails to proper parties involved in work activities
· Initiate outgoing calls and emails to distribute information and set scheduling dates as needed
· Attend and participate in internal and client meetings as needed
· Maintain and build relationships with current employees, client and vendors
· Compile, edit and send in all reports at the completion of job through working with QA/QC
· Fulfill on-call duties, including after-hours and weekends in rotation
· Give and accept instructions/delegations in a high-pressure setting
· Assists other departments as needed with tasks, such as:
· Rent equipment, off rent equipment
· Book rooms, flights, cars etc
· Work with staffing agencies to fill open positions requested by field supervision
· Work with QHSE to:
· Ensure capture of proper credentialing and training certifications for field service technicians
· Schedule Precision and Client requirements for assigned manpower including but not limited to background checks, drug screening, safety council, respiratory assessment, and physicals
· Willingness to perform additional duties as required by different supervisory levels
