    Position Summary

    The Accounts Payable Coordinator is responsible for managing and processing all aspects of the MEAU’s accounts payable function. This role involves collecting and maintaining invoices, preparing and posting payment requests, and ensuring compliance with MEAU policies. The Accounts Payable Coordinator will also manage vendor relationships, handle inquiries, and resolve invoice issues. The ideal candidate will have strong data entry skills, attention to detail, and the ability to work collaboratively with various departments.

    Position Duties and Responsibilities

    • Collect invoices through various methods.
    • Maintain organized files of invoices payable.
    • Prepare and post outgoing payment requests.
    • Address vendor inquiries and resolve invoice issues.
    • Distribute reports and checks as assigned.
    • Manage intercompany invoices and accrue when necessary.
    • Input, review, and update vendor invoices in SAP HANA/Concur
    • Process and audit expense reports for policy compliance, acting
    • on non-compliance.
    • Create journal entries to correct miscoded expense charges after
    • research.
    • Support the year-end 1099 process, ensuring all vendors receive
    • their forms in a timely manner.
    • Become a superuser of Concur modules.
    • Train employees in system usage.
    • Reconcile discrepancies.
    • Assist with month-end accounting closing as assigned.
    • Identify and implement process improvements to enhance efficiency and accuracy in the accounts payable process.
    • Participate in projects and initiatives aimed at improving the overall AP function.
    • Perform other duties as assigned.

    Essential Education, Skills, and Experience

    • High school diploma with relevant coursework; an associate’s degree in accounting is a plus.
    • 3-5 years of related experience.
    • Proficient in computer data entry, 10-key adding machine, and PC spreadsheet preparation (Excel, Word, Outlook).
    • Strong interpersonal skills.
    • Excellent accuracy in data entry.

    The listed salary range is approximate and reflects the anticipated compensation for this position as determined by salary analysis; both internal and external to MEAU. Final compensation will be determined based on the candidate's qualifications, skills and experience. Compensation may also vary due to market factors. MEAU retains the right to adjust compensation based on business needs.

    Expected Salary: $47,685 - $58,905

    Summary

    Responsible for the control of delinquent loan accounts in order to protect the assets of the Credit Union and minimize losses by performing the following duties:

    E ssential Duties and Responsibilities

    • Collection of all consumer, commercial, credit card, and real estate loans in compliance with state and federal laws and regulations
    • Communicate with member(s) and evaluate personal circumstances, historical account data and credit information; devise a realistic repayment agreement to resolve delinquency and prevent loss to ECU
    • Defuse potentially adversarial communications with professional courtesy while maintaining excellent member service
    • Work with members who qualify for SCRA (Soldier’s Civil Relief Act) benefits. Monitor accounts to ensure ECU maintains compliant with regulatory requirements.
    • Maintain versatile knowledge of ECU products, services and processes including Member Business Lending, Card Services, Operations, Consumer and Mortgage Lending
    • Serve as a resource for ECU personnel on issues related to losses, delinquencies, repossessions, seizures, garnishments, collection accounts, judgments, charge offs, pending deceased matters, corrections, late fees, skips, bankruptcy matters, and foreclosures
    • Work with Asset Recovery Management in developing and maintaining procedures
    • Make recommendations to management justifying the need for foreclosure after reasonable attempts to resolve delinquent real estate loans are unsuccessful or where circumstances dictate it prudent to do so
    • Prepare necessary documentation for accounts requiring foreclosure
    • Responsible for assisting Loss Management Manager with maintaining and disposition of REO property
    • Prepare monthly reports for Fannie Mae, VA, USDA, ARCH, CMG, FHA and CUNA
    • Solicit bids for property maintenance, assist management with vendor management requirements, obtain property evaluations, property inspections, arranging locksmith services, etc.
    • Prepare documentation for collateral being sent for repossession and assist Loss Management Manager with disposition of repossessed collateral
      • Arranging transportation to auction
      • Overseeing reconditioning process, collateral evaluation process, and physical inspections of collateral held locally
      • Establishing justification for minimum bid requirements for auctions, verify accuracy of all auction charges, and posting checks for all sold collateral
      • Prepare necessary documentation for collectors in order to complete final stages of collection process
    • Responsible for maintaining spreadsheets and databases housing historical data related to foreclosures, repossessions, charge offs, recoveries, bankruptcies and delinquencies
    • Staff liaisons working with heirs and estate administrators to resolve outstanding obligations of deceased ECU members
    • Assist Asset Recovery Management in recommending accounts for charge off
    • Perform transactions and file maintenance of charge offs
    • Recognize when Financial Counseling, mitigation or extensions are appropriate for the member and solicit the member for the respective service
    • Recommend legal action and repossessions with appropriate justification after all other available avenues to collect have been exhausted or where circumstances dictate it prudent to do so
    • Audit loan payment histories in response to member disputes and make due date corrections and late fee refunds or credit bureau corrections as needed
    • Act as a representative for the Credit Union on an ongoing basis with legal firms, credit bureau agencies, government agencies, repossession agencies, auction companies, and software companies
    • Enter invoices related to collection activities into Epicor system and research payments made to vendors when requested
    • Facilitate loan payments for delinquent loans and all payments to charged off loans; balance general ledger accounts for those transactions
    • Prepare documentation for accounts referred for legal action or third party collection agency
    • Prepare for testimony and assist legal counsel in federal and/or state court litigation
    • Document and update in detail all pertinent information related to collection activity performed in the Temenos Elements collection software
    • Effectively utilize all available resources (the Internet, credit bureau report, loan application, etc.) to locate and confirm residence and employment of members
    • Log NSFs & reverse applicable loan payments
    • Provide advice and assistance to members on budget counseling, consolidations, loan extensions, payment methods and other items relating to member’s financial needs
