    We are seeking a highly organized and detail-oriented Accounts Payable Specialist to join our finance team. In this role, you will be responsible for managing and processing all incoming invoices, ensuring accurate and timely payments to vendors and suppliers. This role requires attention to detail, strong organizational skills, and the ability to maintain accurate records and reports. The successful candidate will support the finance department by ensuring that payments are processed efficiently while maintaining compliance with company policies and procedures.

    Key Responsibilities:

    Invoice Processing:

    Receive, verify, and process vendor invoices in a timely and accurate manner.

    Ensure invoices are matched with purchase orders and receipts, resolving discrepancies as needed.

    Record and classify invoices in the accounting system.

    Payment Processing:

    Prepare and execute weekly or bi-weekly payment runs via check, wire transfer, or ACH.

    Ensure all payments are accurately applied to the appropriate accounts and within agreed payment terms.

    Vendor Management:

    Maintain and update vendor records in the system, ensuring accuracy of payment details.

    Resolve payment or billing issues with vendors, including investigating and troubleshooting discrepancies.

    Account Reconciliation:

    Reconcile vendor statements to ensure all outstanding invoices are accounted for.

    Assist in month-end closing activities by providing reports and reconciliations for AP accounts.

    Documentation & Filing:

    Maintain organized and thorough documentation for all accounts payable transactions, including invoices, receipts, and payments.

    Ensure compliance with internal controls and audit requirements by maintaining accurate and up-to-date records.

    Communication & Collaboration:

    Communicate with vendors, internal departments, and management to resolve any issues or discrepancies.

    Collaborate with team members and other departments to ensure smooth financial operations.

    Qualifications:

    Education:

    High school diploma or equivalent; associate degree in accounting, finance, or related field preferred.

    Experience:

    1-2 years of experience in accounts payable or a similar financial role preferred.

    Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle, or similar) and Microsoft Excel.

    Skills & Competencies:

    Strong attention to detail and accuracy.

    Good communication and interpersonal skills.

    Ability to handle sensitive information with discretion.

    Basic knowledge of accounting principles.

    Ability to work in a fast-paced environment and meet deadlines.

    Strong organizational and time management skills.
