    Position: Accounts Payable and HR Assistant

    Location: Missoula, MT

    Schedule: Monday - Friday, 8:00 AM - 5:00 PM

    Zip Beverage is a leading beer and beverage distributor in Western Montana, proudly serving the Missoula and Butte areas. We’re looking for a detail-oriented and proactive Accounts Payable Specialist with HR assistant responsibilities to join our Missoula team. This position provides a unique opportunity to gain hands-on experience in both accounting and human resources, supporting Zip Beverage’s operations in a dynamic and collaborative environment.

    Job Responsibilities

    Accounts Payable

    -Process and record A/P invoices, ensuring timely and accurate entry into accounting software, check printing, and running applicable reports.

    -Match and reconcile electronic funds transfer (EFT) remittances from suppliers, ensuring accuracy.

    -Monitor, verify, and report on all F.O.B. pricing on supplier invoices, resolving discrepancies with suppliers as needed.

    Administrative Support

    -Manage ordering of office supplies, uniforms, and company merchandise, maintaining operational efficiency.

    -Provide top-tier customer service via phone and in-person interactions with retailers, suppliers, and customers, ensuring clear communication and satisfaction.

    -Create and process invoices for same-day deliveries as needed; assist in warehouse order picking when feasible.

    Human Resources

    -Support HR with onboarding new employees, coordinating schedules, preparing onboarding materials, and ensuring completion of required documentation.

    -Maintain and update employee files in compliance with company policies and state regulations.

    -Assist with tracking employee uniform orders, issuing, and returns, in alignment with company policies.

    -Uphold a high level of confidentiality when handling sensitive employee and organizational information, safeguarding organizational integrity.

    General & Other Duties

    -Address and troubleshoot daily operational issues as they arise, providing effective solutions.

    -Take on miscellaneous duties as directed by management to contribute to team goals and enhance overall efficiency.

    Qualifications

    -Must be at least 19 years of age.

    -High school diploma or equivalent; coursework or certification in accounting, HR, or a related field preferred.

    -Understanding of basic accounting principles, fair credit practices, and collection regulations.

    -Strong accuracy in data entry and basic math skills for precise financial transactions.

    -Competency in Microsoft Office Suite, particularly Excel and Word; experience with QuickBooks Online preferred.

    -High accuracy level and attention to detail to maintain data integrity.

    -Ability to prioritize tasks, work independently with minimal supervision, and adapt to shifting priorities.

    -Strong oral and written communication skills for effective interactions with internal and external stakeholders.

    -Prior experience in accounts payable or HR support preferred; familiarity with route accounting software is a plus.
