    Position: Accounts Payable and Office Assistant Location: Missoula, MT Schedule: Monday – Friday, 8:00 AM – 5:00 PM

    About Us Zip Beverage is a leading beer and beverage distributor serving Western Montana, with operations in Missoula and Butte. We are seeking a detail-oriented and proactive Accounts Payable and Office Assistant to join our Missoula team. This role supports our accounting department while also overseeing essential office management duties to help keep operations running smoothly.

    Key Responsibilities Accounts Payable

    Process and record A/P invoices, ensuring timely and accurate entry into accounting software.

    Print checks, reconcile vendor statements, and run applicable reports.

    Match and verify electronic funds transfer (EFT) remittances to suppliers.

    Monitor and resolve discrepancies in F.O.B. pricing on supplier invoices.

    Maintain accurate vendor account records and assist with month-end processes.

    Office Management & Administrative Support

    Order and manage inventory of office supplies, uniforms, and company merchandise.

    Maintain organized records, filing systems, and general office tidiness.

    Maintain and update employee contact lists and company organizational charts.

    Provide support to other departments on various projects, such as assembling internal Point of Contact Marketing (POCM) displays.

    Serve as a point of contact for internal technical troubleshooting before escalating issues.

    Provide professional customer service via phone and in person to retailers, suppliers, and other business partners.

    Create and process invoices for same-day deliveries as needed.

    Support warehouse staff by assisting with order picking when feasible.

    General & Other Duties

    Assist with day-to-day operational issues and provide practical, timely solutions.

    Perform other duties as assigned by management to support department and company goals.

    Qualifications

    Must be at least 19 years of age.

    High school diploma or equivalent required; coursework in accounting or business preferred.

    Understanding of basic accounting principles and strong data entry accuracy.

    Proficiency in Microsoft Office Suite, especially Excel and Word; QuickBooks Online experience preferred.

    Ability to multitask, prioritize responsibilities, and work independently.

    Strong written and verbal communication skills.

    Previous experience in accounts payable or general office administration preferred; knowledge of route accounting software is a plus.
