    POSITION OVERVIEW

    HalcyonFT is seeking a detail-oriented, self-motivated Accounts Receivable & Purchasing Coordinator to work in a fully remote environment. This role is crucial for managing IT procurement processes, ensuring effective purchasing, and optimizing the value of products and services for our clients. You will oversee the full procurement lifecycle, ensuring clients receive optimal value and service while building scalable IT infrastructures (hardware, software, and networks). You will also establish and maintain procurement processes that align with our clients' organizational objectives.

    You will manage all stages of IT procurement, from needs identification to product receipt, including quoting, ordering, invoicing, contract management, and budgeting. Additionally, you will maintain visibility and understanding of procurement processes within the team, ensuring intentional IT spending, high-value services and products for clients, and optimized margins for HalcyonFT. As a liaison between suppliers and the client service team, you will handle contract negotiations, assess supplier performance against SLAs, and coordinate supplier activity to meet both current and future needs.

    Key Responsibilities

    • Manage full-cycle IT procurement (hardware, software, SaaS, cloud services, etc.), collaborating with internal teams to align with company policies.
    • Conduct supplier research, prepare and negotiate contracts, place orders, track deliveries, handle invoicing and payments, and track procurement data accurately.
    • Perform value analysis, margin analysis, reviews, and conversion to client quote to ensure pricing, specifications, and terms are clear and approved.
    • Monitor inventory, verify product receipt, resolve shipping errors, and ensure timely delivery of products and services to clients.
    • Build strong supplier relationships, ensuring compliance with service agreements and SLAs while identifying opportunities for cost savings.
    • Manage vendor requirements to earn or maintain partnership status and preferred pricing.
    • Prepare invoices, reports, and reconciliation of client purchases in systems like ConnectWise and QuickBooks.
    • Handle client inquiries and collections for outstanding invoices.
    • Collaborate with client service team to verify license compliance and address client needs.

    Qualifications:

    • 5+ years of experience in technology procurement and contract management.
    • 4+ years of experience in purchasing software and cloud services.
    • Strong understanding of IT infrastructure, software licensing, and procurement processes related to application platforms (on-premise, cloud, and hybrid), software licensing, IT networks and infrastructure, data center technology, end user, mobile, and web technology.
    • Proven negotiation skills and vendor management experience.
    • Knowledge of financial management related to contracts, including cost analysis and risk mitigation.
    • Experience with new purchases, renewals, RFx's, SLA's, outsourcing agreements, and the negotiation of commercial and other terms.
    • Demonstrated vendor management experience serving as primary point of contact for technology vendors and channel distributors.
    • Excellent communication, problem-solving, critical-thinking, organizational, and time management skills.
    • High energy with ability to thrive in a fast-paced environment.

    Preferred but not required:

    • Experience with ConnectWise Manage, ConnectWise Sell, QuickBooks Online, and MS CSP partner portal.
    • Familiarity with Ingram Micro, Tech Data, Amazon Business, and other technology distributors.
