Camp Lake James
Camp Lake James is a private member-owned recreational club situated on Lake James, NC, located near the Original Fonta Flora Whippoorwill. The camp operates a casual dining restaurant year-round and a lakeside bar with limited menu items during the summer season. The camp also provides six pickleball courts, two tennis courts, bocce ball, shuffleboard, a beach, two docks and many hiking trails. The camp holds special events involving plated meals or buffets throughout the year. We provide a relaxed family atmosphere to both members and team members and offer competitive pay and benefits.
Job Summary
The Activities& Events Manager is responsible for planning, organizing, and implementing a diverse and engaging program of social, recreational, weddings, and sporting activities for club members of all ages. This role requires strong organizational, communication, and interpersonal skills, with a focus on exceeding member expectations and ensuring smooth and seamless event operations.
Essential Duties and Responsibilities
Activity Planning & Coordination:
Develop and implement a year-round calendar of activities, including social events, tournaments, classes, and special programs.
Consult with members, clients, and internal departments to understand event objectives, budgets, and timelines.
Develop detailed event plans and timelines, including logistics, staffing, and vendor coordination.
Secure necessary permits and licenses for events.
Manage event budgets and track expenses.
Negotiate contracts with vendors (caterers, florists, musicians, etc.).
Oversee event setup and breakdown, including décor, audio-visual equipment, and furniture.
Promote activities through club communications (e.g., newsletters, website, social media).
Member Relations:
Build and maintain strong relationships with club members.
Provide exceptional customer service to all members and guests.
Address member inquiries and resolve any event-related issues promptly.
Organize member surveys and feedback sessions to gather input and improve programs.
Proactively identify and suggest ideas to enhance the member experience.
Develop and offer branded merchandise for sale to members.
Event Management:
Supervise the activity staff, event staff, and vendors.
Collaborate with the Operations Manager to ensure the safety and security of all members and guests during activities.
Monitor event safety and security protocols.
Ensure the smooth and efficient flow of events.
Conduct post-event reviews and analyze event data to identify areas for improvement.
Administrative Duties:
Maintain accurate records of all activities and events.
Prepare activity budgets and track expenses.
Stay abreast of industry trends and best practices in club activities and recreation.
Qualifications
Bachelor's degree in Recreation Management, Leisure Studies, or a related field preferred.
Minimum of 3 years of experience in planning and managing recreational activities, preferably in a club or hospitality setting.
Proven ability to manage multiple projects simultaneously and meet deadlines.
Proven ability to organize and execute events effectively.
Excellent communication, interpersonal, and organizational skills.
Strong customer service orientation and a commitment to exceeding member expectations.
Proficiency in Microsoft Office Suite and event planning software.
Capable of lifting and moving items up to 50 pounds, working in outdoor environments during summer months.
Desired Skills
Experience with club management software Jonas Encore, preferably.
Knowledge of food and beverage service.
Experience with social media marketing and community building.
