Job Summary
We are seeking a Administrative Manager to join our team! As a Administrative Manager, you will be managing the day-to-day runnings of the company, including scheduling staff members, handling performance reviews, and maintaining excellent records and reports. You will also be working each day to build and strengthen relationships with new and existing clients, address any minor and major client issues, and overall foster a strong work environment, provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include , make and corroborate employees payroll, reconciling bank records, drafting financial documents, evaluate financial budgets and track expenses, answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. . The ideal candidate has demonstrated leadership ability, has exceptional communication and interpersonal skills, and feels comfortable working in a fast-paced environment and managing multiple projects simultaneously.
Responsibilities
Make Employees Payroll and OTR Drivers Payroll
Make and corroborate Clients Payments
Reconciling bank records
Evaluate financial budgets and track expenses
Answer incoming phone calls and route them to the appropriate person
Draft and report financial presentations.
Reconcile financial books including incoming and outgoing funds.
Schedule appointments and maintain calendar
Organize meetings and take accurate minutes
Write emails, memos, and letters and distribute them appropriately
Contribute to company reports
Maintain an organized filing system
Develop, update, and maintain relevant office procedures
Qualifications
Bilingual- 100% English/100 % Spanish - Required
High school diploma/GED required, Associate’s degree or administrative/accounting training is preferred
Previous experience as an Administrative Assistant, Accounting or in a similar position
Familiarity with standard office equipment such as printers and fax machines
Excellent computer skills and knowledge of Quickbooks, Microsoft Word, , Outlook, and PowerPoint
Highly organized with excellent time management skills and the ability to prioritize projects
