    We are seeking a detail oriented and proactive Administrative Assistant II to provide transactional support team specialist for two managers and will track work/low for the office team consisting of up to 5 other personnel.
    Key Responsibilities: Excellent verbal/ written skills required for correspondence; the AA will be expected to operate with minimal direction and a level of autonomy while interacting closely with teammates to meet office goals. The AA may participate in meetings throughout WMA. Will have a government vehicle to use. There will be minimal physical requirements but may be required to lift light boxes or equipment. A typical 5-day workweek is expected but specific reporting hours are flexible in coordination with management & team to ensure office coverage during core hours. Working knowledge of Sponsor's logistical and research applications and Sponsor's access request system, electronic communication system and Sponsor Authorities System is desired. Working knowledge of Microsoft Office Suite applications (particularly Outlook, Basic PowerPoint Skills and Basic to Intermediate Excel Skills) is very desirable. The AA will work with Pivot tables, charts and perform minor Excel manipulation. These processes will be reinforced with office training. PowerPoint presentations are for office monthly VTC presentations created with supervisor input. Office training in house provided in subject materials above as needed and once the AA is comfortable, he/she should be able provide subsequent training to other individuals when necessary. The AA will be responsible for updating phone trees & group accounts, track personnel records, on/off boarding, and access requests. The AA will update SOPs for administrative processes and provide general duties as a vault custodian. The AA will maintain an office daily tracker for completion and accuracy of staff/ contractor daily transactional performance. The daily tracker is an internal daily tasking sheet that maintains all office personnel daily achievements for automated weekly metrics. Ensuring office inputs are accomplished daily for accuracy in reporting is requested. Update Strategic Plan dates and inputs as provided by management for review by customer management. Assist in office All Hands, conferences, vehicle/ conference room scheduling, and other ad hoc special functions. Assistance with events, schedules, and/or ad hoc requirements are accomplished with Office level contractor and division staff. Verify asset management files/records for accuracy and completeness as required. The review of asset records for accuracy and completion is a daily task as determined by supplied excel spreadsheet review of Sponsor's logistics systems. These tasks are performed by all and is easily learned. Adjustments are made in the Sponsor Logistics application by office staff or by the owning organization of the error as determined by management. Maintain SOPs, User Manual and Work Instructions as necessary per approved changes by management. SOPs are in the office w/step by step instructions.

    Required Qualifications:

    • Clearance: TS/SCI w FS Poly
    • Minimum of 2-4 years of experience in an administrative support role, preferably in a government or corporate environment.
    • Familiarity with calendar management and administrative processes is essential.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience working with Pivot Tables.
    • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
    • Excellent written and verbal communication skills.
    • Attention to detail and a commitment to maintaining confidentiality.
    • High school diploma or equivalent required; an associate degree or higher in a related field is preferred
