We are looking to add an organized, friendly, positive, customer-focused, teammate for our HVAC company.
Core Responsibilities
o Respond to phone calls, emails and texts, and direct them appropriately
o Monitor and manage emails, letters, packages, phone calls and other forms of correspondence
o Document interactions with clients and technicians within our CRM in detail
o Support company bookkeeping and job costing procedures
o Track and replace office supplies as needed
o Monitor the scheduling of maintenance contracts
o Prioritize new jobs and/or tasks as they come in
o Maintain up-to-date records
o Assist with miscellaneous projects
o All other administrative duties such as filing, data entry, copying, scanning, etc.
Day-to-day Activities
o Track daily project schedules for technicians
o Track project status
o Data entry
o Generate preliminary invoices
Requirements
o Proficiency in Google Apps such as Google Drive, Google Docs and Google Sheets and basic computer software
o Proficient in managing schedules and in using Google Calendar
o Top-notch verbal and written communication skills with proper grammar and spelling
o Ability to work in an environment that is sometimes frenzied and sometimes calm, with minimal supervision
o Self-sufficient, well organized, exceptional work ethic to meet deadlines
o Critical thinker, problem-solver
o A Team player with a dedication to lifetime learning
