Summary:
The Scalehouse Office Assistant is responsible for providing administrative support and clerical services in a scalehouse environment. This role involves weighing trucks, recording data, maintaining records, and ensuring compliance with safety and regulatory standards. The ideal candidate is detail-oriented, organized, and capable of handling multiple tasks in a fast-paced setting.
Key Responsibilities Include
Weighing and Data Entry:
Operate scalehouse equipment to weigh incoming and outgoing trucks.
Accurately record weights and other relevant information in the system.
Ensure all data is entered promptly and correctly.
Give copies of certified weight tickets to customers.
Provide recycling certificates for customers to present to their respective cities for their C&D Management plans.
Customer Service:
Greet and assist drivers and visitors in a professional manner.
Provide clear instructions and answer questions related to scale operations.
Address and resolve customer inquiries and concerns efficiently regarding hauling, recycling, certification, etc.
Answer calls and emails and record any necessary information to be relayed.
Documentation and Record-Keeping:
Maintain accurate and organized records of all transactions.
Prepare and issue weight tickets, receipts, and other necessary documentation.
Ensure all paperwork is completed according to company policies and regulatory requirements.
Administrative Support:
Assist with filing, photocopying, and other general office tasks.
Coordinate with other departments as needed for smooth operations.
Monitor and order office supplies to maintain inventory levels.
Safety and Compliance:
Adhere to all safety guidelines and procedures.
Ensure compliance with local, state, and federal regulations related to scale operations.
Report any safety hazards or incidents to the appropriate personnel.
Technical Skills:
Proficient in using scalehouse software and computer systems.
Basic Arithmetic
Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook).
Bilingual in Spanish and English is necessary
Other Duties:
Perform other related duties as assigned by the Scalehouse Manager.
Qualifications:
Education: Minimum of a High school diploma or equivalent.
Experience: Previous experience in a similar role or administrative position preferred.
Skills:
Strong attention to detail and accuracy.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Good organizational and time management abilities.
Ability to handle multiple tasks and prioritize effectively.
Work Environment:
The position is based in a scalehouse, which can be a noisy and busy environment.
May require working in various weather conditions.
Some physical activity, including standing for extended periods and lifting light objects, may be required.
