Position Overview:
We are seeking a diligent and detail-oriented Administrative Assistant to join our team in a supportive role for our Operations and Marketing departments. This position plays a critical role in ensuring efficient office operations and accurate data management to facilitate the smooth functioning of our dynamic engineering firm.
Key Responsibilities:
Provide administrative support to the Operations and Marketing teams.
Maintain organized filing systems for physical and electronic documents.
Perform data entry tasks with a high level of accuracy and efficiency.
Update and maintain databases, spreadsheets, and systems.
Research processes and gather information to support departmental needs.
Prepare and modify documents, including reports, drafts, and emails.
Handle incoming communications, including answering and directing phone calls.
Coordinate schedules, appointments, and meetings for team members as needed.
Assist in the completion of applications and manage the application approval process.
Assist with coordination for executive events, travel, and meetings as needed.
Perform other duties as assigned by management.
Qualifications:
Proven experience as an administrative assistant, office assistant, or in a relevant role.
Strong data entry and recordkeeping skills.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Strong verbal and written communication skills.
Ability to handle confidential information with integrity and discretion.
Experience in assisting with human resources is a plus.
Proficiency in MS Office (Word, Excel, Outlook).
Proactive problem-solving skills with a positive, can-do attitude.
Diligent, detail-oriented, and efficient in time management.
High school diploma; additional qualifications in Office Administration or related field preferred.
