    ADMINISTRATIVE ASSISTANT Reports to: Director of Administration Status: Regular, Full-time, Nonexempt Location: Onsite, Anchorage AK Work Week: 8 hours per day, 5 days per week, Monday-Friday

    POSITION OVERVIEW The Administrative Assistant provides administrative and clerical support to the Anchorage office staff in all departments for APICDA, AJV and its subsidiary companies. This position plays a critical role in the smooth operations of our office, responsibilities will range from the general upkeep of the Anchorage office to helping prepare reports for our Board of Directors. This is an ideal position for a motivated individual seeking to enhance their administrative skills while contributing to the success of our organization. The Administrative Assistant reports directly to the Director of Administration.

    PRIMARY DUTIES AND RESPONSIBILITIES

    Serve as the main point of contact for all visitors and callers, providing excellent customer service.
    
    Manage the front desk, welcoming visitors, answering phone calls, and directing inquiries to the appropriate person or department. 
    
    Responsible for inner office mail distribution and all outgoing mail or shipments.
    
    Provide general office support by managing calendars, coordinating meetings, making travel arrangements, and performing a variety of administrative tasks.
    
    Assist with event planning and coordination as needed.
    
    Utilize knowledge of office equipment and computer skills to efficiently complete tasks.
    
    Maintain administrative folders and electronic filing systems, organizing and managing administrative documentation.
    
    Ensure sufficient supply of office supplies and equipment; this would include purchasing supplies, maintaining an organized supply area, tracking invoices, and adhering to budgets. 
    
    Complete travel arrangements for staff and clients by managing traveler profiles, booking travel, communicating travel itineraries and confirmations, and assisting with other travel needs.
    
    Responsible for general upkeep of office space ensuring areas are neat and orderly, includes disposal of refuse and recycling.
    
    Look for ways to contribute beyond your regular tasks by offering to help your colleagues when time allows.
    
    Performs other duties as assigned.
    

    WORK ENVIRONMENT Work is performed in a professional office environment with a variety of individuals having differing functions. Position routinely uses standard office equipment. Periodically required to drive to perform certain tasks.

    Physical Demands The physical demands of this position require speaking and listening, sitting, standing, climb stairs, and walking. Ability to lift items weighing less than 50 pounds. Ability to maintain assigned work hours in a 40-hour Monday-Friday work week environment with the occasional requirement to work after-hours. Additionally, must be able to understand instructions, handle conflict and make effective decisions. Must have the ability to effectively work with various personalities and work styles in a dynamic work environment.

    MINIMUM QUALIFICATIONS Education and Training

    High school diploma or equivalent
    

    Knowledge and Experience

    Minimum two years of experience in an office setting, office administration experience preferred.
    
    Proficient working knowledge in computer software applications: word processing, spreadsheets, database, and presentation software.

    Excellent customer service skills with a focus on maintaining a professional demeanor.
    
    Self-motivated and ability to work independently.
    
    Effective verbal and written communication skills.
    
    Able to collaborate effectively with others.
    
    Strong organizational skills and ability to prioritize work effectively to meet deadlines.
    
    Willingness to learn general knowledge of APICDA communities, geographical locations, fisheries, and tourism, Alaska Native organizations, or non-profits.
    

    Other Requirements

    Must have a valid driver’s license and be insurable under APICDA’s insurance policy.
