    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office manager and employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, handling insurance and billing tasks, and overall assistance to the office manager. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly professional demeanor.

    Responsibilities

    Answer incoming billing department phone calls and questions

    Prepares invoices and sends them to patients

    Receives and tracks incoming payments

    Resolves patient issues related to invoices

    Provides reports on billing data

    Maintains patient records and account statuses

    Updates charges to patient accounts

    Sends payment reminders to patients

    Entering patient demographics & insurance

    Posting medical billing to insurance companies

    Insurance appeals

    Write emails, memos, and letters and distribute them appropriately

    Maintain an organized filing system

    Develop, update, and maintain relevant office procedures

    Qualifications

    High school diploma/GED required, Associate’s/Bachelor's degree or administrative training is preferred

    Previous experience as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as printers and fax machines

    Excellent computer skills and knowledge with an electronic medical record software system (we use Nextech)

    Highly organized with excellent time management skills and the ability to prioritize projects
