Our client, a leading environmental foundation focused on climate action and sustainability, is seeking a detail-oriented Administrative Assistant to support their San Francisco office. This role combines traditional administrative support with office management responsibilities in a mission-driven environment.
Key Responsibilities:
- Manage hybrid office operations, including maintaining office supplies, coordinating with vendors, and ensuring a welcoming workspace
- Provide direct administrative support to the COO, including calendar management, expense reports, and meeting coordination
- Handle meeting logistics for staff and quarterly board meetings (both virtual and in-person)
- Process and prepare weekly invoice payment memos with high attention to detail
- Maintain foundation-wide calendar and scheduling systems
- Provide basic IT troubleshooting and coordinate with external IT support
- Assist with special projects including job postings, interview scheduling, website updates, and email communications
Required Qualifications:
- Experience in professional office administration
- Advanced proficiency in Microsoft Office Suite (especially Outlook, Excel, Word, PowerPoint)
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Demonstrated ability to work independently and proactively identify needs
- Experience supporting executive-level staff
- Comfort with both in-person and virtual office environments
Preferred Skills:
- Experience with Mailchimp, WordPress, and Zoom
- Background in environmental or nonprofit sector
- Basic Photoshop skills
Physical Requirements:
- Ability to work at a computer for up to 8 hours daily
- Occasional lifting up to 10 pounds
