We are looking for an organized and detail-oriented Insurance Agency Administrator/sales assistant to join our dynamic team.
Position Summary:
As an Insurance Agency Administrator and sales assistant, you will play a crucial role in ensuring the smooth day-to-day operations of our agency. This position is ideal for a proactive individual with strong communication skills, a customer-centric mindset, and the ability to manage administrative tasks efficiently. You will support our agents and clients, helping to maintain high standards of service.
Key Responsibilities:
Client Support:
◦ Serve as the first point of contact for clients, answering calls and emails promptly.
◦ Assist clients with inquiries, policy updates and rewrites, claims processing, and general service needs.
◦ Schedule appointments for insurance agents and maintain calendars.
Administrative Duties:
◦ Maintain and update client records in the agency management system.
◦ Process insurance applications, renewals, endorsements, and cancellations accurately and in a timely manner.
◦ Assist with policy reviews, ensuring compliance with company guidelines.
◦ Prepare reports, documents, and correspondence as needed.
Team Support:
◦ Collaborate with insurance agents to ensure timely follow-up on client requests.
◦ Coordinate internal communications and assist with training or team meetings.
◦ Handle billing and invoicing for clients, including tracking payments and issuing reminders. ◦ Work closely with clients on inspection recommendations.
Compliance & Documentation:
◦ Ensure all documentation and client records are accurate and in compliance with regulatory standards.
◦ Maintain a filing system for both physical and digital documents.
Qualifications:
• High school diploma or equivalent.
• Prior experience in an administrative or customer service role (insurance experience is a plus).
• Proficient with office software, especially Microsoft Office Suite.
• Familiarity with insurance software is a plus.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to work independently and manage multiple tasks effectively.
