We are currently seeking a diligent and organized Administrative Specialist to join our team.
Position Overview
As an Administrative Specialist, you will play a vital role in ensuring the smooth operation of our administration department. You will be responsible for supporting payroll, check posting, accounts receivable, billing, and various administrative tasks that help keep our business running efficiently.
Key Responsibilities
Payroll Administration: Prepare, process, and maintain accurate payroll records in compliance with company policies and legal regulations.
Check Posting: Handle incoming and outgoing checks, verify transaction accuracy, and update financial records accordingly.
Accounts Receivable: Monitor customer accounts, follow up on outstanding payments, and ensure all receivable transactions are properly documented.
Billing: Generate invoices, track outstanding accounts, and ensure the accuracy of billing and payment details.
Administrative Support: Manage documentation, maintain filing systems, prepare correspondence, and support additional administrative tasks as needed.
Cross-Functional Collaboration: Work closely with other departments (e.g., finance, HR) to provide information, resolve issues, and support interdepartmental projects.
Qualifications
Education: High school diploma required; associate’s or bachelor’s degree in business administration, accounting, or related field preferred.
Experience:
1–3 years of relevant administrative experience; experience with payroll or accounting tasks is a plus.
Familiarity with accounting software (e.g., QuickBooks) or ERP systems is advantageous.
Skills & Competencies:
Strong attention to detail and organizational skills.
Excellent communication (written and verbal) and interpersonal skills.
Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Nice-to-Have Skills: Experience with ADP payroll systems and advanced Excel functionalities.
High level of integrity and discretion in handling confidential information.
