Job Title: Administrative Assistant - Summer Day Camp Location: Fort Lauderdale, FL and Hollywood, FL Duration: February - September 1 Compensation: $18 - $20 per hour, 35 hours per week

Position Summary: We are seeking an organized, detail-oriented, and enthusiastic Administrative Assistant to support the operations of our summer day camp from February through September. The Administrative Assistant will be the key point of contact for camp staff, parents, and vendors. This position will involve a variety of administrative tasks to ensure smooth operations before, during, and after the camp season.
Key Responsibilities: • Camp Enrollment & Registration: o Manage camper registration, including data entry, processing forms, and maintaining accurate records. o Assist in communicating with parents regarding camp details, schedules, and any special requirements.
• Scheduling & Coordination: o Coordinate camp schedules, staff assignments, and ensure that all logistics (transportation, field trips, activities) are well-organized. o Maintain an updated calendar of events, parent meetings, and special activities.
• Communication & Customer Service: o Serve as the first point of contact for parents, staff, and vendors. o Respond to emails, phone calls, and inquiries in a professional and timely manner. o Provide support to parents with any concerns or questions about the camp experience.
• Staff Support: o Assist with the hiring process, including reviewing applications and scheduling interviews for seasonal staff. o Help with staff onboarding, including the preparation of training materials and ensuring that staff have the necessary resources.
• Financial Administration: o Process invoices, payments, and receipts related to camp operations. o Track expenses and assist with budget management.
• Camp Supplies & Equipment: o Assist in ordering and organizing camp supplies, including outdoor gear, educational materials, and office supplies. o Ensure that all necessary equipment is in working condition and available when needed.
• General Administrative Support: o Maintain organized filing systems (both digital and paper). o Assist with any other administrative tasks as needed to ensure the smooth operation of the camp.
Qualifications: • Proven experience in administrative support, preferably in a camp, educational, or non-profit setting. • Strong organizational and time-management skills, with the ability to handle multiple tasks simultaneously. • Excellent communication skills (both written and verbal) and a customer-focused approach. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). • Ability to work independently and as part of a team. • A positive attitude, flexibility, and a passion for working with children and the environment. • Ability to work in a fast-paced, outdoor environment. • Knowledge of environmental education and sustainability is a plus.
Working Conditions: • The role is primarily office-based, but may require some outdoor tasks (e.g., coordinating field trips, camp setup). • Must be available to work from February through September, with the camp season running from June to August. • 35 hours per week with a flexible schedule.
