    ABOUT THE ROLE Job Summary:

    The Administrative Assistant provides comprehensive administrative support to the Children and Youth Services (CYS) Division of Elev8 Baltimore. The CYS Division includes Elev8 Full-Service Community School strategy (elementary and middle schools), Extended Learning opportunities (high dosage tutoring K-8, comprehensive afterschool programming, and Elev8 Freedom School), mentoring, Experience Corps®, middle school CTE/College & Career, Elev8 for Justice, and Family Advocacy/Power Parent strategy.

    In this role, you will:

    Ensure efficient operation of all program-related activities.

    Coordinate with various departments, managing communications, scheduling, and handling documentation related to grants, budgets, and compliance reporting

    Play a critical role in ensuring smooth and efficient program operations in accordance with federal, state, and local regulations and grant requirements.

    Key Responsibilities:

    Administrative Support:

    Manage day-to-day administrative tasks and ensure smooth program operations.

    Maintain schedules, arrange meetings, and manage calendars for the division.

    Prepare and organize reports, presentations, and relevant correspondence.

    Documentation and Compliance:

    Maintain and organize all program-related documentation, including contracts, MOUs (Memorandums of Understanding), and compliance reports.

    Coordinate the submission of required forms and documentation for grant compliance.

    Ensure proper filing of time and effort documentation for staff across different funding sources

    Communication and Coordination:

    Act as the point of contact for internal and external communications regarding the program.

    Coordinate with schools, contractors, and vendors to facilitate program operations.

    Facilitate communication between division leadership and stakeholders.

    Event Coordination:

    Assist with the planning and execution of CYS-related events, workshops, and parent engagement activities.

    Manage logistical arrangements, including securing venues, arranging travel, and preparing materials for training and events.

    Data Entry and Reporting:

    Input and manage data in relevant databases, including attendance, budget tracking, and grant management systems.

    Compile and distribute reports related to program performance, including attendance, budget utilization, and key milestones.

    Qualifications:

    Education:

    High school diploma or equivalent required.

    Minimum of Associate's degree, or equivalent # credits earned toward bachelor's, preferably in business administration or a related field.

    Bachelor's preferred.

    Experience: 2-3 years of experience in administrative support, preferably in a nonprofit or educational setting. Experience with grant management and reporting is highly desirable.

    Skills:

    Strong organizational and time-management skills.

    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with grant management software.

    Excellent written and verbal communication skills.

    Ability to handle sensitive information with confidentiality.

    Knowledge of federal, state and local grant requirements and reporting is a plus.

    Strong interpersonal skills for working with diverse stakeholders including school staff, contractors, and program participants.

    Compensation: $26/hour

    Work Location and Travel: This role will be based at our 210 W 28th Street office in Remington (21211). Local travel, such as to/from our 210 office and or school sites, within Baltimore City maybe needed periodically.
