Job Summary CommonGood Medical, a non-profit Christian ministry, is seeking a dedicated and experienced administrative assistant. The ideal candidate will be a passionate individual with at least 3 years of experience in a similar role, who shares our commitment to serving the poor and spreading the love of Jesus. This individual will provide support to our leadership team, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include email and written correspondence, scheduling appointments, answering phone calls, planning meetings, and assistance with project management. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Key Responsibilities
Administrative Support:
Manage and maintain the Chief Executive Officer’s calendar, scheduling meetings, appointments, and events.
Assist with scheduling meetings for members of the leadership team.
Prioritize appointments and meetings to optimize time management.
Occasionally coordinate travel arrangements, including booking flights, accommodations, and transportation.
Communication:
Serve as a primary point of contact between the leadership team and internal and external stakeholders.
Handle incoming calls, emails, and inquiries from donors, community partners and volunteers professionally and efficiently.
Draft, proofread, and edit correspondence and presentation materials, including emails, letters, reports and powerpoints.
Manage incoming and outgoing mail and correspondence.
Event Coordination:
Assist leadership team and Director of Development in planning and coordinating various development and community outreach events.
Handle logistical details, including venue selection, guest lists, and vendor coordination.
Data management:
Handle general administrative tasks, such as filing, photocopying, and data entry.
Input data into donor management system and run reports when necessary.
Maintain accurate records and files.
Assist with expense reports.
Other Duties as Assigned:
Perform additional tasks and projects as needed to support the organization's goals.
Qualifications
High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Administrative Assistant or similar position
Familiarity with standard office equipment such as printers, fax machines, etc.
Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
Highly organized with excellent time management skills and the ability to prioritize projects
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
A passion for the mission of the clinic and a commitment to serving the community.
Experience with CRM or donor database management preferred.
