    Job Overview:

    We are seeking a detail-oriented Office Assistant to manage the day to day operation of a fast paced, Construction Office.

    The ideal candidate will provide administrative support to the Director of Operations and ensure efficient office operations.

    Responsibilities:

    • Process payables in system to insure AP accuracy.
    • Perform general office tasks including filing, data entry, and maintaining records
    • Assist with administrative duties such as scheduling appointments and managing calendars.
    • Update and follow-up on delegated tasks to ensure timely completion.
    • Submit documents to the County and City as directed.
    • Communicate all updates with PM.
    • Review, code, route and track all invoices.
    • Data Entry, Invoice Management.
    • Manage incoming calls and correspondence.
    • Utilize computer literacy skills to navigate Word and Excel software programs effectively.
    • Assist Office with Clerical duties by organizing files and keeping accurate documents.
    • Provide clerical support to ensure smooth office operations.
    • Auditing reports to keep accuracy.
    • Assist Manager with AIA Biling.
    • All other tasks as requested.

    Requirements:

    • Proven experience in an administrative role or similar position

    • Proficiency in Microsoft Office applications, Word & Excel

    • Strong organizational skills with attention to detail

    • Excellent communication and interpersonal abilities

    • Ability to multitask, prioritize tasks effectively and be a self starter

    • Knowledge of basic office procedures and equipment operation

    • Knowledge of Job Cost and Construction vocabulary is a plus.
