Job Description
Apex Family Healthcare Services LLC a robust outpatient mental health clinic that provides clinical services to a diverse client population with mental health needs. The provider team consists of psychiatrists, nurse practitioners, psychologist and mental health counselors. The Clinic works closely with referral sources such as local hospitals with inpatient psychiatric programs and health centers. There are specialty psychiatrist that see geriatric patients, adults, adolescents, and children. The clinic provides over 20,000 visits a year and is expanding the scope of services.The Mental Health Medical Receptionist and Assistants are the first in-person point of contact for a patient on behalf of the mental health practice. They are responsible for all aspects of front office duties assigned by a clinic. This is an intermediate level position requiring excellent customer service skills. It is highly visible, requiring discretion, good judgment, a pleasant and professional manner and articulate phone voice. Internal and external contacts include patients, families, co-workers, physicians and the general public. Duties include:
Primary
Must Be Able to Multitask

Must Be Able to Talk to Pharmacies and Patients For Medication Issues
Must Have Exceptional Communication Skills
Send Emails and Add Messages to Charts
Liaison Between Patients and Providers
Must Be Able to Handle Patients Suffering From Mental illness
Must be Punctual and Have Reliable Transportation.
Answering phones and scheduling patients
Verifying insurance benefits, co-pays and deductibles
Checking in and greeting patients
Must be Proficient in Microsoft Word
Must be Proficient in Microsoft Excel
Must be Type 50wpm
Must Work Well With Teams
Oversee Open and Closing Activities of Office
Ensure Facility is always presentable and ready for clients and clinicians
Secondary:
Calling patients for appointment reminders
Must Be Familiar with EMR and/or EHR systems
Assign Clinical Staff Rooms to See Patients
Must Be Able to Complete Prior Authorization for Medications Through Phone
Pulling Medical Charts
Basic Vitals (as needed)
Must present as well-groomed and professional
Minimum Requirements: One year clerical and/or receptionist experience, Medical Assistant experience is a plus
Education/Licenses/Certifications: Post High School office procedures preferred
Degree or relevant Certificate (e.g., Medical Office Assistant, Medical Assistant, Health Unit Coordinator) may be substituted for experience.
