Job Title: Administrative Assistant
Compensation: $36.00 - $42.50 per hour
The base salary or hourly wage range for this role will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors. About the Role:
This Assistant will collaborate closely with executives, providing essential administrative support while managing daily operations, schedules, and communications. The role is focused on executing detailed instructions, ensuring that daily activities run smoothly and efficiently. The ideal candidate is self-driven, highly responsible, and skilled at managing their workload and prioritizing tasks in a dynamic, fast-paced environment. This position will report to the SVP Operations.
Responsibilities:
Administrative Support
Provide full administrative support to executives by managing calendars, scheduling meetings, and organizing travel itineraries.
Ensure documents are provided to leader in timely manner for review; secure appropriate signatures and track documents through approval process on behalf of executives, as needed.
Pick up supplier samples and deliver them to support center or store operations, as needed.
Meeting & Event Coordination
Draft agendas or presentations, attend meetings with the executives, transcribe, and distribute notes or minutes.
Arrange venues, equipment, catering, accommodations, and travel for participants arriving from various locations to ensure the smooth running of medium-scale events.
Assist with other events as requested by the executive.
Project Management
Prepare correspondence, communications, reports, and presentations for approval by the executive, ensuring accuracy and timely delivery.
Assist in managing and prioritizing projects, ensuring deadlines are met.
Follow up with internal / external teams to ensure smooth execution of tasks and deadlines.
Serve as liaison with internal staff at all levels
Support other Senior Management staff on other projects, as needed.
Office Management
Anticipate the needs of the executive and proactively address any issues or concerns.
Uphold a strict level of confidentiality of sensitive information

Job Requirements:
Associate's degree or equivalent work experience
Minimum 3-5 years of experience as an Admin Assistant supporting senior leaders or teams
Strong organizational and multi-tasking skills
Ability to work well with others, stay adaptable, and maintain a positive attitude in changing situations
Ability to work independently, take initiative, and remain calm under pressure
Good interpersonal skills & ability to build positive working relationships with different teams/individuals at all levels
Strong oral and written communication skills
Demonstrated record of reliability and confidentiality
High attention to detail and accuracy
Preferred Requirements:
Bachelor's degree
Ability to anticipate the needs of the executives
Proficient in MS Office Suite (Word, Excel, PowerPoint)
Proficient in Google suite, with an ability to become familiar with company specific programs and software
Special Requirements:
Hybrid office-based with potential travel required for business meetings or events.
Occasional overtime may be required to meet deadlines or support time-sensitive projects.
