We are seeking a detail-oriented and organized Administrative Assistant to support our growing team in providing unparalleled service to our customers.

    Position Summary: The Administrative Assistant will be responsible for managing day-to-day administrative operations, providing excellent customer service, and ensuring smooth coordination within the office. This role is ideal for a proactive individual with strong organizational skills who can handle multiple tasks efficiently and maintain a high level of accuracy.

    Key Responsibilities:

    • Oversee day-to-day office operations, including maintaining office supplies including but not limited to uniforms, paper towel, birthday cards, gift cards, contest, office furniture & materials, etc., managing equipment (including IT issues), and ensuring a well-organized and efficient workspace
    • Prepare and format documents, reports, and presentations. Manage and maintain filing systems, both physical and digital, ensuring accurate record-keeping
    • Handle communication with customers and utility companies, building departments, etc. to obtain work order numbers, permits, and schedule inspections and ensuring that corrections are implemented in a timely fashion
    • Register all equipment through vendor website for factory warranties and extended labor warranties when purchased
    • Work with uniform vendor to ensure all employees have clean uniforms and any issues are resolved promptly
    • Process warranty claims, and track expenses. Ensure timely record keeping
    • Provide general administrative support to directors and other staff, including tasks such as in house event set up, company training events, lunch/coffee deliveries, preparing correspondence, and handling mail
    • Implement and enforce office policies and procedures, ensuring compliance with company standards
    • Maintain a calendar with all PTO, birthdays, and work anniversaries and ensure the proper channels are informed of any upcoming events
    • Review all incoming potential new hires and ensure clear and ongoing communication surrounding our candidate pipeline, interviews, background checks, and job status
    • Set up all documentation including binders, timecards, electronic devices, and software accounts for all new hires

    Qualifications:

    • High school diploma or equivalent; associate degree or higher preferred
    • Proven experience as an administrative assistant or similar role
    • Proficiency in Google Workspace (Sheets, Docs, Google Calendar, Gmail, ETC.), Microsoft Office, Dropbox, and Notion or similar platforms
    • Excellent verbal and written communication skills
    • Strong organizational skills with a keen eye for detail
    • Ability to multitask and prioritize tasks effectively in a fast-paced environment
