    JOB SUMMARY

    This position is responsible for providing customer service and clerical support for administrative and business development and communications department operations.

    MAJOR DUTIES

    • Answers telephone and greets customers; provides information and assistance to the public; assists in resolving customer complaints and concerns; refers to appropriate personnel; takes messages and receives customer requests and prepares service or work orders.
    • Prepares agenda packets for City Commission, Community Beautification Committee, Visitors Committee, Growth Fund, and Renaissance Zone meetings; aids departments with agenda documentation creation; prepares minutes; prepares legal notices; posts agendas and minutes on city website; assists with all City boards/committees as needed.
    • Organizes ordinances and resolutions; assigns ordinance numbers; forwards ordinances to Municode; orders, removes, and replaces annual supplement updates for City Attorney, Administration, and court code books.
    • Processes annual business license and permit renewal applications.
    • Assists with record purges and disposals; determines records to be included in record retention schedules; reviews schedules and submits records series updates/corrections to the State Records Management Program; establishes and maintains a variety of files and records; scans documents.
    • Maintains office supply inventory; reorders as needed.
    • Drafts, composes and types memoranda, letters and other correspondence.
    • Updates the city website and assists with general communication duties.
    • Assists with elections.
    • Provides public information & program assistance related to overall city services.
    • Sorts and distributes mail.
    • Performs related duties.

    KNOWLEDGE REQUIRED BY THE POSITION

    • Knowledge of modern office principles and practices.
    • Knowledge of customer service principles and practices.
    • Knowledge of city and department policies and procedures.
    • Knowledge of computers and job-related software programs, including the Microsoft Office Suite.
    • Skill in performing basic mathematical calculations.
    • Skill in prioritizing and organizing work.
    • Skill in the provision of customer services.
    • Skill in the maintenance of files and records.
    • Skill in the operation of standard office equipment.
    • Skill in interpersonal relations and in dealing with the public.
    • Skill in oral and written communication.

    MINIMUM QUALIFICATIONS

    • Ability to read, write and perform customer and clerical service, and mathematical calculations at a level commonly associated with completion of high school or equivalent.
    • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
    • Possession of or ability to readily obtain a valid driver’s license issued by the State of North Dakota for the type of vehicle or equipment operated.
