    Job Title: Administrative Assistant I

    Location: Bethesda, MD Client: National Institutes of Health (NIH)

    Job Summary:

    The Administrative Assistant I will provide comprehensive administrative support to the project team and assist with daily office operations. The ideal candidate will have strong organizational and communication skills and be proficient in using office productivity tools.

    Key Responsibilities:

    Administrative Support: Assist the project team with general administrative duties, including scheduling meetings, managing correspondence, and maintaining records.

    Document Preparation: Draft, format, and edit various documents such as reports, proposals, memos, and other communications using Microsoft Office Suite (Word, Excel, PowerPoint).

    Data Management: Utilize Excel and other spreadsheet tools to organize, input, and analyze data, ensuring accuracy and completeness.

    Proofreading and Editing: Review documents for grammatical accuracy, consistency, and formatting before finalizing.

    File Management: Maintain electronic and physical filing systems to ensure easy retrieval of important documents.

    Production and Copying Support: Coordinate printing, scanning, and duplication of documents as needed.

    Communication Coordination: Act as a point of contact for internal and external stakeholders, answering phone calls, responding to emails, and facilitating communication between departments.

    Scheduling and Calendar Management: Arrange meetings, book conference rooms, and assist with travel arrangements when required.

    Office Operations: Assist with office supply inventory, procurement, and general upkeep of office space.

    Qualifications:

    Education: High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

    Experience: Minimum of 1-2 years of administrative experience, preferably in a research, healthcare, or government setting.

    Technical Skills:

    Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

    Experience working with spreadsheets and databases.

    Ability to use office equipment such as printers, scanners, and copiers.

    Soft Skills:

    Excellent verbal and written communication skills.

    Strong attention to detail and accuracy.

    Ability to prioritize tasks, manage time effectively, and meet deadlines.

    Team-oriented mindset with the ability to work independently.

    Discretion in handling confidential information.

    Preferred Qualifications:

    Prior experience in a government or healthcare environment.

    Knowledge of NIH administrative processes and procedures.

    Familiarity with scheduling tools and project management software.
