    I. Position Title: ADMINISTRATIVE ASSISTANT

    • Reports to: Director for Operations (DOO)/National Executive Director (NED). By direction of DOO and NED, handles a variety of situations involving the execution of administrative functions of the office.

    II. Essential Duties/Responsibilities

    • Serves as human resources liaison for DOO and NED, maintains personnel records and employee training files, and onboards new employees.

    • Ensures security guard contract and receptionist desk is covered, assists the DOO and NED with time scheduling and meeting deadlines.

    • Serves as the accounts payable clerk, and is responsible for entering all incoming invoices in the accounting system for payment. Monitors monthly recurring charges to make sure invoices are received and payments are being processed.

    • Makes travel arrangements for JWV Leadership including National Commander, Vice National Commander, committee members and staff.

    • Coordinates with Headquarter vendors to ensure the proper deadlines and dates are met, including maintenance and repair requests.

    • Serves as liaison for staff with IT providers to be sure staff has all hardware and is operational.

    • Responsible for monitoring office supplies and placing supply orders as needed.

    • Maintains and updates corporate documents and records. (contracts/leases/contact information)

    • Assists DOO and NED with any additional projects and other administrative duties as assigned.

    III. Qualifications

    1. Experience as an Administrative Assistant.

    2. Proficient with Microsoft Office and Adobe Acrobat.

    3. Experience working with vendors, ordering supplies, processing bills and making travel arrangements.

    4. Strong interpersonal and customer service skills.

    IV. Requirements

    · Ability to be proactive and work independently to prioritize workload to meet demands.

    · Proven ability to meet deadlines and work in a fast-paced, team environment with quick turnaround times.

    · Ability to multi-task and maintain high attention to detail on tasks.

    · Ability to respond to and manage sensitive inquiries.

    · Outstanding written and verbal communications skills.

    · Proficient in MS Word, Excel, and PowerPoint.

    V. Desired Skills

    · Preference to hire a veteran, military spouse or individual with experience with the military community.

    · Understanding and knowledge of Jewish customs and traditions a major asset.

    Experience working with nonprofit entities.

    Photography skills -- may serve as photographer at JWV events.
