The Administrative Assistant will provide direct support to the HR Director by managing schedules, coordinating communications, tracking deadlines, and handling general administrative duties. This role requires strong Excel skills, time management, and attention to detail to help keep the organization running smoothly.
Responsibilities
• Scheduling & Calendar Management:
• Manage and organize the HR Director’s schedule, ensuring efficient time allocation.
• Set up meetings, send reminders, and coordinate with team members.
• Follow up on pending tasks and deadlines.
• Administrative Support:
• Handle data entry, document preparation, and record-keeping.
• Assist with email and communication management, including drafting responses and follow-ups.
• Maintain files and organize digital and physical records.
• Excel & Reporting:
• Use Excel to create reports, track key HR and operational metrics, and organize data.
• Maintain spreadsheets for payroll, time tracking, and compliance-related tasks.
• HR & Operations Assistance:
• Support HR functions such as onboarding paperwork, employee documentation, and compliance tracking.
• Assist in coordinating training sessions and monitoring completion.
• Communicate with staff regarding updates, policies, and scheduling needs.
• Task & Project Management:
• Track to-do lists, ensure deadlines are met, and proactively follow up on outstanding tasks.
• Assist in organizing internal processes to improve efficiency.
• Other Duties as Assigned:
• Provide general office support, such as ordering supplies, handling calls, and assisting staff as needed.
Qualifications & Skills
• Proficiency in Microsoft Excel (pivot tables, formulas, data organization).
• Strong time management and ability to handle multiple priorities.
• Excellent organizational skills with attention to detail.
• Strong communication and follow-up skills.
• Ability to work independently and anticipate needs.
• Experience in an administrative role preferred.
• Familiarity with HR or healthcare administration is a plus.
