We are seeking a motivated and detail-oriented Office Assistant to join our team. The Office Assistant will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing office tasks, assisting with customer inquiries, and handling our social media presence. The ideal candidate will have excellent organizational skills, strong communication abilities, and a proactive attitude.
Key Responsibilities:
- Administrative Support: Perform general administrative tasks such as answering phones, managing emails, filing documents, and maintaining office supplies.
- Customer Service: Assist with customer inquiries, schedule appointments, and provide information about our services.
- Data Entry: Accurately input and update data in our system, including work orders, invoices, and customer information.
- Scheduling and Coordination: Coordinate schedules for electricians, manage calendars, and ensure timely follow-ups on work orders.
- Document Preparation: Prepare and distribute memos, reports, and other documents as needed.
- Office Management: Maintain a clean and organized office environment, including managing office equipment and supplies.
- Financial Tasks: Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
- Communication: Liaise with clients, suppliers, and team members to ensure effective communication and smooth operations.
- Social Media Management: Create, curate, and manage content for the company’s social media platforms, including posting updates, responding to comments, and engaging with followers.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration or related field is a must.
- Proven experience as an office assistant, administrative assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Experience with social media platforms (e.g., Facebook, Twitter, Instagram) and content creation.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Experience in the electrical or construction industry is a plus, but not required.
