Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to join our landscaping team. The ideal candidate will handle administrative tasks, coordinate office operations, and support field staff to ensure smooth day-to-day operations. This role requires excellent communication skills, multitasking abilities, and a strong understanding of office management in a landscaping environment. Additionally, the candidate will assist in managing and entering warranties for products and services.
Key Responsibilities:
Answer and manage phone calls, emails, and inquiries from clients, vendors, and employees.
Schedule appointments, client consultations, and follow-ups.
Maintain and update client records, contracts, and job schedules.
Process invoices, payments, and payroll support as needed.
Order and track supplies, materials, and equipment for landscaping projects.
Assist with marketing efforts, including social media updates and client outreach.
Prepare proposals, quotes, and contracts for potential clients.
Coordinate with field crews to ensure job schedules are maintained efficiently.
Maintain office organization and ensure all administrative processes run smoothly.
Assist in tracking expenses, budgeting, and financial reports.
Enter and maintain warranties for landscaping products and services, ensuring accurate record-keeping and timely submissions.
Communicate with vendors and manufacturers regarding warranty claims and processes.
Provide customers with warranty information and support as needed.
Qualifications & Skills:
Previous experience in administrative roles, preferably in landscaping, construction, or a similar industry.
Strong organizational and time-management skills.
Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software.
Excellent verbal and written communication skills.
Ability to multitask and prioritize work in a fast-paced environment.
Knowledge of basic bookkeeping or QuickBooks is a plus.
Customer service-oriented mindset.
Experience handling warranties or contract documentation is a plus.
Education & Experience:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
1-3 years of administrative experience, preferably in landscaping or construction.
Work Environment:
Office-based with occasional interaction with field staff and vendors.
May require light physical activity, such as organizing materials or documents.
