Job Purpose/Overview
The Administrative Assistant will support the operations of Language Kids World by handling a variety of administrative and clerical tasks. This role is essential in maintaining organization, ensuring timely communication, and assisting with the smooth functioning of activities across our language immersion programs. Key Responsibilities
General Office Support: Answer and direct phone calls, respond to emails, and manage daily correspondence.
Scheduling: Assist with scheduling meetings, coordinating class schedules, and managing calendars for team members or executives.
Data Entry: Accurately enter and maintain data in our systems, including class rosters, tutoring schedules, client records, and invoices.
Document Management: Organize, file, and maintain office documentation, both physically and digitally, including reports, enrollment forms, and communications with families and schools.
Client and Visitor Relations: Greet visitors and clients (families, teachers, and school representatives) with a welcoming attitude, providing information about our language immersion services.
Office Supplies: Monitor and manage office supplies; place orders as needed and liaise with vendors for any office or classroom needs.
Mail Handling: Sort and distribute incoming mail, manage outgoing mail, and process packages related to camp and class materials.
Meeting and Event Assistance: Help prepare for meetings or events, including printing materials, setting up rooms, and arranging refreshments for team meetings.
Administrative Projects: Provide support for office projects, research tasks, or event coordination as needed for our language programs, tutoring sessions, or summer camps.
Transportation: Must have a reliable vehicle and transportation, as this position may require making deliveries to staff or schools, attending community events, and supporting off-site activities as needed.
Other tasks as assigned.
Required Skills & Qualifications
Education: High school diploma or equivalent; additional qualifications in office administration are a plus.
Experience: 1-2 years of experience in an administrative or office support role.
Skills:
Proficiency in MS Office Suite (Word, Excel, Outlook).
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to multitask and prioritize workload.
Basic knowledge of office equipment (printers, scanners, etc.).
Ability to handle confidential information with discretion.
Preferred Skills
Familiarity with office management tools or software.
Basic bookkeeping knowledge is a plus.
Work Environment
Office hours are typically Monday to Friday from 9:00 AM to 5:00 PM. However, the hours will change depending on our programs, requiring some flexibility. This position is on-site at our Houston office (1245 Heights Blvd, Houston, TX 77008), with occasional opportunities to support our programs in the community.
