PRINCIPLE OBJECTIVE
Provide administrative and clerical support for the Spiritual Formation Pastor and the programs within that ministry. Manage adult members within the church database and provide regular reporting to the Spiritual Formation Team. This position will support various main office functions, including preparing and responding to written and electronic correspondences, answering phones, monitoring office inventory and ordering supplies, maintaining calendars, and various other assignments as needed. Ensure communication across departments and to the congregation.
PRINCIPLE WORKING RELATIONSHIP
This position reports to the Spiritual Formation Pastor and collaborates closely with the Lead Pastor’s senior administrator. It interfaces with all ministries throughout PCC and has direct contact with church members, volunteers, and the broader community.
SUMMARY OF KEY RESPONSIBILITIES
Database records maintenance, support, and training.
Manage inter-department and volunteer communication
Departmental calendaring and coordination
Provide administrative support in the following areas:
Event planning including promotion, registration support, facilities or rentals, internal and external communication, and budget tracking.
Support staff and volunteers with technology for check-in systems, reports, database and workflow resources
Support for department leads to help communicate items to appropriate teams at PCC
Support ministry’s external communications with coordination, design and delivery
Manage email and mail communication to volunteer teams, the congregation at-large, outside groups, and individuals.
Oversee and provide for the production of internal and external publications for the Spiritual Formation team. Create and maintain templates, forms, and procedures for regular and special communications.
Provide administrative support for the Spiritual Formation Pastor in the following areas:
Track purchases and prepare expense reports; support budget development
Manage attendance tracking data
Prepare agendas and handouts for events
Track volunteer availability and scheduling
Administer Community Care program
General reception and office duties
Ensure a welcoming environment for volunteers and guests
Phones, mail, deliveries, office equipment support
Organize meeting space, offices, and storage.
Ensure supplies are available and orders as necessary
PROFILE SKILLS AND CORE COMPETENCIES
Mission-minded faithful follower of Jesus
Bachelor’s degree desired
4+ years experience as an administrative assistant
Experience in a church, school or community setting is highly preferred
Excellent interpersonal skills, including the ability to work as a member of a team, communicate openly, and assist others
Strong verbal and written communication skills
Strong organizational skills and attention to detail
Skilled at adaptability, problem-solving, prioritizing and time management
Must act with integrity, professionalism, and confidentiality
Proficient with Mac, PC, Google Calendar/Docs/Sheets, MS Office, and familiar with database software.
PHYSICAL REQUIREMENTS
Extensive walking on 14-acre campus in all weather conditions, including stairs required
Must have a clean, current DMV record
Must be able to lift, transport and set up equipment up to 20 pounds
Provide a DOJ background clearance
Must adhere to and model PCC’s Safe Church policies
WORKWEEK
This job is Full-time with an average of 40 hours per week.
This position is generally Monday through Friday with occasional weekends and evenings.
