    Job Summary The Bilingual Administrative Assistant serves the primary role of managing all office administration and assists the Franchise Business Consulting Team in Franchise Development within a specific regional office. This position is responsible for all administrative procedures including franchise and customer transactions, data processing, public relations, general office administration, and franchise development within the office setting. This position also assists with Franchise Development within the office setting.

    Responsibilities

    Accountable to the Regional Director for direction and fulfillment of his/her responsibilities.

    Exercises the authority delegated by the Regional Director in accounting, data processing, public relations, and general office administration.

    Answers all incoming calls punctually and efficiently, taking messages accurately and completely.

    Greets and acknowledges all visitors courteously and promptly.

    Confirms and records appointments efficiently to avoid conflicts of time and to ensure visitors are received in a timely manner.

    Works with the Franchise Business Department and Business Development Departments to compile data for the completion of all necessary documentation for all Opus transactions.

    Ensures all documents and information are properly loaded into Opus, filed, recorded, and sent to the ASC for processing as required.

    Assists in all areas of accurate and timely data entry of customer and Franchisee transactions.

    Maintains and controls daily cash collection and accounts receivable reporting systems and works in conjunction with the Accounting Manager on possible collection action.

    Coordinates and communicates with the Regional Director in the identification of customers that are in neglect of payment, following policies and procedures to facilitate collection through legal action, if necessary.

    Maintains inventory control and needs within all areas of the office.

    Following Corporate and Regional practices, generates and distributes necessary information and/or business correspondence to Franchise Owners and/or potential Franchise prospects.

    Assists the Regional Director with the transaction of franchise sales.

    Assists with training Franchise Owners in the Stratus System within the office setting.

    Attends weekly staff meetings and monthly Office Manager Compilation meetings.

    Performs other duties as may be assigned by the Regional Director.

    Qualifications

    Familiarity with G-Suite Workspace, HubSpot, LinkedIn

    Ability to navigate the internet and various platforms

    Bilingual- Fluent in English and Spanish
