The Administrative Assistant provides high-level support for the Director of Operations including strong capacity to figure out problems with limited information, organized to balance many tasks and deadlines at once, be able to pivot as needed. The Administrative Assistant will serve as liaison between the Director of Operations and other departments within the organization. This position must able to exercise independent judgment in the resolution of administrative problems. They can prioritize and manage multiple projects simultaneously with little or no supervision. This position must also be willing to assist the on-site teams with an "all hands" approach as directed.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
● Attend meetings, transcribe notes, and initiate action items
● Handling incoming and outgoing phone and electronic communications on behalf of the Director of Operations ● Arranging travel arrangements and reservations for executive management as needed ● Independently creating well-organized, grammatically correct memos and reports for distribution to members of various departments
● Assisting with special events planning
● Using various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and/or format data and/or reports
● Maintaining highest level of confidentiality
● Exercising administrative judgment; assuming responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area ● Some travel will be required up to 25% (may be evaluated with growth of organization)
● Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
● Associate’s degree required, Bachelor’s degree preferred
● 3-5 years or more of experience as an administrative assistant
● Working knowledge of Microsoft Excel, Word, PowerPoint, Outlook, and or G-Suite ● Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the executive and the company to outside parties
● Excellent interpersonal, oral, and written communication skills
● Excellent writing, proofreading, and editing skills ● Food Service experience is preferred but not required.
