Job Summary: Under the general direction of the office manager, the Administrative Assistant provides professional, analytical and technical office functions in support of supervisors and staff. The Administrative Assistant uses independent judgment in carrying out responsibilities.
Tasks involved in fulfilling above duty/responsibility:
• Reports to office manager for daily update, accomplishments, and any issues requiring attention.
• Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
• Payroll, Invoicing and billing.
• Developing spreadsheets for data collection.
• Assist in project management by tracking deadlines and facilitating communication.
• Maintains records and organizes materials.
• Prepares and compiles appropriate materials for team meetings, and events.
• Liaison to our vendors and clients.
• Maintain office supplies, and manage all inventory.
• Reports to office manager for daily update, and any issues requiring attention.
• Maintains employee records.
• Prepares and compiles appropriate materials.
Maintains licenses and certifications of employees.
Essential knowledge and specialized subject knowledge required to perform the essential functions of the job: • Proficiency in Microsoft Office Suite • Proficiency in QuickBooks • Excellent organizational and time management skills. • Strong communication and interpersonal skills. • Ability to work independently. • Proficiency with emailing, and speaking on the phone. • Self-motivated with excellent follow-up skills • Knowledge of data privacy act and procedures. • Knowledge of office productivity software |
