    Job Summary

    The Production and Accounting Admin of SyAqua Americas is responsible for supporting both the production and accounting teams to ensure smooth and efficient operations. This role involves managing production schedules, maintaining inventory, supporting in Purchase to Pay processes and assisting in financial reporting, as well as handling administrative tasks related to accounting., working from the Broodstock Multiplication Center in Fellsmere, FL. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

    Responsibilities

    Production Support:

    Inventory Management: Track raw materials and finished products, maintaining accurate inventory records (stock in and out) and ensuring stock levels are adequate for production needs including coordinating for ordering of materials, supplies and feed, tracking the inventory levels to minimize overstocking or stockouts by working closely with Procurement team.

    Document Management: Maintain production records, reports, and relevant documentation in an organized manner for easy retrieval and reference.

    Communication: Liaise with production managers, team members, and other departments to coordinate production workflows and resolve issues.

    Others: Answers phone calls and emails, screening when necessary.

    Accounting and Finance Support:

    Financial Record Keeping: Assist in maintaining accurate financial records, including invoices, receipts, and expenses.

    Bookkeeping: Support the accounting team with routine bookkeeping tasks such as data entry, posting transactions, and reconciling accounts.

    Invoice Processing: Support on the process vendor and customer invoices, ensuring proper documentation and timely payments.

    Report Generation: Help prepare monthly financial reports, per alignment with with managers

    General Administrative Support:

    Data Entry: Maintain accurate data entry in various software systems for production and financial records.

    Document Filing: Organize and file all production and financial documentation in accordance with company policies.

    Support Audits: Assist in internal and external audits by providing necessary documentation and responding to requests from auditors.

    Staff Tracking: Assists in completion of new hire paperwork for hourly staff, Supports timekeeping and weekly ticket submission for contract workers

    Other:

    Welcomes and directs visitors and suppliers

    Performs other related duties as assigned.

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Previous experience (1 year minimum) as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as computers/printers and proficiency with Microsoft Office Suite (e.g., Word, Outlook, PowerPoint)

    Highly organized with excellent time management skills, attention to detail and the ability to prioritize projects

    Excellent verbal and written communication skills.

    Excellent interpersonal and customer service skills.

    Basic understanding of clerical procedures and systems such as recordkeeping and filing.

    Ability to work independently.

    Finance and Accounting experience will be preferred

    Prolonged periods sitting at a desk and working on a computer.

    Must be able to lift up to 15 pounds at times.
