    Position Overview: Hopes Promise Respite LLC is seeking a motivated Administrative Assistant and Billing Specialist to manage essential administrative operations and billing processes. This individual will ensure the smooth functioning of office tasks and play a key role in supporting our financial and client service systems. The ideal candidate will also support the interviewing process for staff recruitment, ensuring we hire individuals who align with our mission and values.

    Key Responsibilities:

    Administrative Tasks:

    Manage daily office operations, including answering phone calls, managing emails, and greeting clients.

    Maintain and update records, including client information and company documents.

    Assist in scheduling appointments, meetings, and employee assignments.

    Prepare and organize materials for staff meetings and training sessions.

    Billing and Financial Tasks:

    Prepare and issue invoices for services provided, ensuring accuracy and adherence to company policies.

    Track accounts receivable and follow up on outstanding payments.

    Resolve billing inquiries and discrepancies in a timely manner.

    Collaborate with the finance team to prepare reports and ensure accurate bookkeeping.

    Interviewing and Hiring Support:

    Assist in coordinating and scheduling interviews with potential staff.

    Conduct initial screening of applicants to ensure alignment with company values and role requirements.

    Help prepare interview questions and documentation.

    Maintain clear communication with candidates throughout the hiring process.

    Compliance and Reporting:

    Ensure compliance with company policies and state regulations related to billing and documentation.

    Maintain confidential client and financial information securely.

    Qualifications:

    Proven experience in administrative support, billing, or HR support roles, preferably in the healthcare or respite care industry.

    Proficiency in [specific tools, e.g., Microsoft Office, QuickBooks, or other billing software].

    Strong organizational skills and attention to detail.

    Excellent verbal and written communication skills.
