Job Description:
We are seeking a detail-oriented and organized Administrative Assistant and Bookkeeper to join our team. This role is vital in supporting daily operations, ensuring financial accuracy, and maintaining efficient administrative processes.
Key Responsibilities:
- Bookkeeping :
* Manage accounts payable and receivable.
* Reconcile bank statements and financial records.
* Prepare financial reports and assist with budget tracking.
* Process payroll and maintain employee records.
- Administrative Support :
* Answer phones, emails, and handle correspondence professionally.
* Schedule appointments, meetings, and maintain calendars.
* Organize and maintain files, both digital and physical.
* Order office supplies and manage inventory.
- Compliance and Records Management :
* Ensure accurate record-keeping for tax and audit purposes.
* Assist with the preparation of financial documents for external accountants.
Qualifications:
- Proven experience in bookkeeping and administrative roles.
- Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Attention to detail and a high level of accuracy.
- Ability to handle sensitive information with confidentiality.
- Familiarity with payroll systems and tax regulations is a plus.
Education and Experience:
- High school diploma or equivalent (required).
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field (preferred).
- Minimum of 2 years of relevant experience.
