We are seeking a capable and driven Administrative Case Manager Assistant to join our team and help facilitate the critical daily operations that support our mission.

    Job Summary:

    The Administrative Case Manager Assistant plays a vital role in front office coordination, handling phone communications, engaging inquiry calls, and supporting administrative operations to ensure smooth and efficient facility function. This role is focused on both administrative excellence and light case coordination, requiring strong organizational skills, attention to detail, and the ability to professionally engage with patients, families, and staff.

    Key Responsibilities:

    Serve as the first point of contact for front office coordination, managing phone calls and inquiry communications with professionalism and empathy

    Support the Director of Operations with administrative and operational tasks to promote day-to-day efficiency

    Manage front office traffic and maintain a welcoming and organized environment

    Provide clerical and coordination support for clinical, medical, and operational teams

    Coordinate and complete the patient intake process, including documentation, orientation, and communication

    Maintain accurate, timely records and utilize internal tracking systems as assigned

    Prepare reports, organize digital and paper files, and manage standard office equipment

    Facilitate interdepartmental communication and coordination of care

    Support compliance efforts related to Joint Commission, DCF, and FARR standards

    Participate in administrative projects that enhance service quality and operational systems

    Qualifications:

    Bachelor’s degree preferred

    Prior experience in a MH/SUD treatment setting highly preferred

    Working knowledge of confidentiality standards (HIPAA) and EHR systems

    Ability to work in a fast-paced, client-focused environment

    Familiarity with behavioral health or healthcare operations a plus

    Schedule:

    Monday–Friday, 9:00 AM – 5:00 PM (some flexibility may be required)
