    Position Overview

    We are seeking an organized, proactive, and detail-oriented Administrative Coordinator (AC) to join our dynamic team. The AC plays a critical role in ensuring seamless operations, delivering program support, and creating a welcoming environment for clients and staff. Reporting to the Administrative Manager, the AC will manage front desk responsibilities, minor billing tasks, and administrative workflows, while supporting key programs and projects.

    Key Responsibilities

    Front Desk and Client Interaction:

    • Serve as the first point of contact for clients and staff, providing a welcoming and professional experience.
    • Answer phone calls and monitor voicemails to ensure timely follow-up.

    Billing and Operational Support:

    • Process transactions in the EMR and manage client credit card payments.
    • Oversee operational workflows and assigned functions.

    Administrative Functions:

    • Coordinate AV/IT support, supply inventory, equipment management, and facilities maintenance.
    • Ensure HIPAA compliance alongside management.
    • Provide assistance to the Administrative Manager as needed.

    Program and Project Management:

    • Act as the operational point person for assigned programs and coordinators.
    • Facilitate meetings, prepare agendas, and track action items.
    • Onboard and orient new trainees, while managing offboarding processes.
    • Maintain program data and performance metrics in Google Drive.
    • Support administrative and managerial team (including Finance, HR, and Operations).
    • Support the Director of Training with partnerships and initiatives to enhance training programs.

    General Support:

    • Assist with special projects and administrative tasks as required.

    Qualifications:

    • Minimum of 3 years of experience in healthcare and administrative roles.
    • Experience coordinating internship programs for psychology postdocs and interns.
    • Highly organized with excellent attention to detail.
    • Strong interpersonal and communication skills, both written and verbal.
    • Ability to manage multiple priorities in a fast-paced environment.
    • Proactive problem-solving skills and adaptability.
    • High level of discretion and confidentiality.
    • Positive, collaborative mindset with a willingness to provide and receive feedback.
    • Proficiency in Google Workspace and other office software.
    • Availability to work on-site 5 days a week.

    Working Conditions

    • This role requires frequent sitting, standing, walking, and use of office equipment. Occasional travel may be required for off-site meetings or operational needs.
