Job Summary:
We are seeking a highly organized and efficient part-time Administrative Coordinator to provide comprehensive administrative support to the Executive Director, Program Director, and the organization as a whole. The ideal candidate will be a proactive problem-solver with excellent communication and interpersonal skills, and a strong ability to prioritize tasks and manage time effectively. This role requires someone with a strong sense of initiative, exceptional follow-up skills, and the ability to anticipate needs.
Responsibilities:
Executive Support:
Manage the Executive Director and Program Director’s calendars, scheduling meetings and appointments.
Prepare meeting materials, including agendas, presentations, and minutes.
Make travel arrangements and prepare expense reports.
Screen and direct phone calls and emails.
Provide general administrative support, such as filing, photocopying, and mailing.
Program Coordination:
Assist with the planning and coordination of workshops, events, and other program activities.
Communicate with team members to ensure communication is transparent and tasks are completed.
Track program deadlines and ensure timely completion of tasks.
Communicate with program participants and stakeholders.
Office Management:
Maintain office organization and orderliness.
Order and manage office supplies.
Greet visitors and provide a welcoming office environment.
Communication:
Draft and send emails on behalf of the Executive Director and Program Director.
Follow up on outstanding tasks and projects.
Maintain contact lists and databases.
Qualifications:
High school diploma or equivalent.
Proven experience as an administrative assistant, coordinator, or in a similar role.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
Ability to maintain confidentiality and discretion.
Demonstrated ability to take initiative and anticipate needs.
Strong follow-up skills and attention to detail.
Hours:
Part-time, 30 hours per week. Flexible schedule with the possibility of occasional evening or weekend work.
