    Maxim Direct is a fast-growing and financially stable third-party logistics (3PL) transportation broker, specializing in serving the automotive wholesale dealer OEM parts industry. We seek a detail-oriented and highly organized Administrative Assistant to join our team in Austin, Texas.

    This role is ideal for a career-minded professional with 1-2 years of experience in an administrative role, particularly in Cash on Delivery (COD) processing, billing analysis, or a similar field requiring strong organizational, problem-solving, and communication skills.

    We are looking for a candidate who is proactive, analytical, and customer-focused, with a strong work ethic and a drive to succeed in a fast-paced environment.

    Schedule & Compensation:

    • • Monday to Friday, 8 AM – 3 PM (with a one-hour lunch break).
    • • Starting at $17 per hour, with growth opportunities and potential pay increases after a successful 90-day probationary period.

    Key Responsibilities:

    • • Ensure drivers submit checks for COD deliveries in a timely manner.
    • • Review and scan driver manifests daily to ensure accurate records.
    • • Perform data entry for COD posting using e-Courier software.
    • • Identify and resolve COD discrepancies efficiently.
    • • Answer and direct phone calls professionally.
    • • Communicate with company delivery drivers and automotive dealership customers to address inquiries and provide support.
    • • Process invoices and payables accurately.
    • • Maintain customer contact lists and keep records updated.
    • • Draft and distribute emails, letters, faxes, and other correspondence.
    • • Organize and maintain filing systems.
    • • Support additional administrative tasks as directed by the supervisor.

     

    Qualifications & Skills:

    • • 1-2 years of experience in an administrative or similar role (experience in COD processing or billing analysis is a plus).
    • • Proficiency in Microsoft Word, Excel, and data entry tasks.
    • • Strong attention to detail with a high level of accuracy.
    • • Excellent organizational and time management skills.
    • • Strong verbal and written communication abilities.
    • • Ability to manage conflicts effectively and solve problems proactively.
    • • Dependable, trustworthy, and committed to meeting deadlines.
    • • A people-first mentality with a positive and professional attitude.
