Swimming Fishies Swim School is a premier swim instruction provider dedicated to teaching children lifesaving swimming skills in a fun, safe, and engaging environment. Based in Argyle, TX, we offer private lessons, baby swim classes, and stroke development programs designed to build confidence and water safety skills. We’re looking for an organized and motivated individual to join our team as an Administrative Manager to help support our growing business.
Position Summary
The Administrative Manager will oversee and coordinate day-to-day administrative operations, ensuring the smooth functioning of the swim school. This role combines responsibilities in bookkeeping, customer service, and human resources, making it integral to the success of our organization.
Key Responsibilities
Bookkeeping:
Maintain accurate financial records and manage accounts payable/receivable using QuickBooks.
Prepare and reconcile monthly financial statements.
Monitor and manage budgets, including forecasting and expense tracking.
Handle payroll processing and reporting using QuickBooks, in compliance with local and federal regulations.
Ensure timely submission of financial documents for tax preparation.
Customer Service:
Act as the customer service team, delivering exceptional service.
Handle escalated client inquiries and resolve complaints professionally and efficiently.
Oversee client communication channels, including phone, email, and in-person interactions.
Ensure customer profiles are accurately maintained in the CRM system.
Provide feedback and suggestions to improve client satisfaction and retention.
Human Resources:
Administer employee onboarding, training, and offboarding processes.
Manage employee schedules using 7Shifts to ensure appropriate staffing levels.
Maintain compliance with labor laws and company policies.
Oversee employee records, including performance reviews and attendance tracking.
Address employee concerns and foster a positive workplace culture.
Qualifications
Proven experience in an administrative or managerial role, preferably in a service-based business.
Strong bookkeeping skills with experience using accounting software (e.g., QuickBooks).
Exceptional customer service and interpersonal skills.
Knowledge of human resources best practices and applicable labor laws.
Proficient in Google Workspace and CRM platforms.
Outstanding organizational skills with the ability to multitask and prioritize effectively.
High attention to detail and problem-solving abilities.
Preferred Qualifications
Experience in the swim school, education, or recreational industry.
Familiarity with scheduling and management software, such as iClassPro.
Certification or training in HR or bookkeeping.
