About the Role:
The Administrative Assistant – Office Coordinator plays a central role in supporting the day-to-day operations of our recreation and enrichment programs. You’ll partner with your supervisor and fellow office teammates to manage front desk responsibilities, administrative tasks, and special projects—ensuring our families, staff, and program participants feel supported and welcomed.
Key Responsibilities:
Office Presence & Coordination
Maintain a consistent and dependable office schedule with flexibility to meet program needs.
Partner with coworkers to ensure smooth coverage of office duties.
Administrative Support
Perform a wide variety of administrative tasks following organizational policies and procedures.
Organize and maintain records, manage documents, and handle mail with precision.
Utilize Microsoft Office (Outlook, Word, Excel) and additional software tools for communication, formatting, and data entry.
Operate office equipment such as printers, postage machines, and fax systems.
Support events like performances, classes, and social gatherings through administrative planning.
Reception & Front Desk
Serve as the first point of contact for families, students, visitors, and staff—offering a warm, professional welcome.
Manage incoming calls, emails, and messages; route communications efficiently.
Interact with a diverse community of students of all ages and abilities, and their guardians, in a helpful and respectful manner.
What You'll Bring:
2+ years of administrative experience with customer service or public contact
Strong working knowledge of office equipment, procedures, and best practices
Excellent communication skills and attention to detail
Ability to work professionally with sensitive and confidential information
Proficiency in Microsoft Office and general tech savviness
Minimum age: 18 years old
Valid MA driver’s license and access to reliable transportation
