    Job Description & Responsibility for Administrative Operations Assistant

    · Serve as receptionist for admin office, greeting all visitors, vendors and applicants by creating a pleasant & welcoming environment .

    · Answers phones & directs calls to appropriate individuals; take messages when needed.

    · Manage office activities, business transactions, and other matters including but not limited to copying, sorting, scanning, record retention and filing related records.

    · Prepares letters, memos, simple forms, emails, quotes and reports according to written or verbal instructions, assistance in reviewing documents and forms in need of completion. · Handle sensitive information in a confidential manner.

    · Manage incoming mail, delivering to the appropriate department or individual, processes outgoing mail & packages.

    · Assist in the day-to-day administrative operations, including but not limited to managing office purchases, organizing and scheduling appointments and meetings, set up conference room as needed.

    · Maintains filing systems, manually and/or electronically.

    · Purchasing materials for various jobs, the shop, and office and maintain the order tracking system.

    · Support the Operations & Project Management Teams with a variety of tasks, often requiring last minute adjustments & change

    · Assist colleagues whenever there is an opportunity or demand to do so.

    · Above list is an overview & is meant as a representation & can change at anytime, with tasks being added or removed based upon need. Overtime may be necessary during peak project demands

    Qualifications:

    Strong organizational skills with the ability to multitask & prioritize.

    Excellent interpersonal, written, and verbal communication skills.

    Attention to detail and problem-solving skills, extremely detail oriented.

    2+ years of QuickBooks Online experience.

    2+ years of experience providing administrative support.

    2+ years experience working with Basecamp or other project management software

    Ability to work efficiently in a team-oriented and fast-paced environment.

    Handles confidential information with utmost care and confidentiality.

    Proficient in the use of G Suite, QuickBooks Online and Microsoft Office.

    Experience:

    QuickBooks Online: 2 years (Preferred)

    Administrative: 2 years (Required)

    Basecamp: 2 years (Preferred)

    G Suite: 2 years (Preferred)

    Microsoft Office: 2 years (Preferred)

    Pay: $21.00 - $23.00 per hour

    Schedule:

    8 hour shift, with occasional overtime

    8:30 AM to 5 PM

    Monday - Friday

    Work Location: In person
