    General Administrative Assistant

    Job Description:
    Provides clerical and organizational support to ensure efficient operation of the office. Responsibilities include handling office tasks, scheduling meetings, preparing reports, and managing communications.

    Key Duties:

    • Answer phones and greet visitors

    • Schedule appointments and maintain calendars

    • Organize and maintain filing systems (physical and electronic)

    • Prepare reports, presentations, and correspondence

    • Order supplies and manage inventory

    • Perform data entry and assist with basic bookkeeping

    Executive Administrative Assistant

    Job Description:
    Supports senior executives by handling high-level administrative tasks, maintaining confidentiality, and managing executive schedules.

    Administrative Assistant Level 2 – Job Description

    Position Summary:
    The Administrative Assistant Level 2 provides intermediate-level administrative support to departments or teams. This role involves handling routine office tasks, coordinating schedules, preparing reports, and assisting with various administrative functions. It requires a solid understanding of office procedures, strong communication skills, and the ability to work independently with moderate supervision.

    Key Responsibilities:

    • Manage calendars, schedule meetings, and coordinate travel arrangements

    • Prepare and edit correspondence, communications, presentations, and other documents

    • Maintain filing systems (electronic and paper)

    • Answer and direct phone calls; respond to emails and inquiries

    • Assist in the preparation of regularly scheduled reports

    • Order office supplies and maintain inventory

    • Support event planning and coordination

    • May provide limited support to budgeting and invoicing processes

    • Maintain confidentiality of sensitive information

    Qualifications:

    • High school diploma or equivalent (Associate degree preferred)

    • 2–4 years of administrative experience

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

    • Strong organizational and time-management skills

    • Ability to communicate effectively, both orally and in writing

     

    Administrative Assistant Level 3 – Job Description

    Position Summary:
    The Administrative Assistant Level 3 performs advanced administrative support duties and may coordinate the activities of other administrative staff. This position requires a high level of autonomy, problem-solving skills, and the ability to manage complex scheduling, reporting, and communications tasks.

    Key Responsibilities:

    • Manage complex calendars and coordinate high-level meetings and travel logistics

    • Draft, review, and manage sensitive correspondence and documents

    • Compile data for reports, presentations, and budget tracking

    • Serve as the primary point of contact for internal and external stakeholders

    • Handle confidential materials and information with discretion

    • Organize department-wide meetings, events, and special projects

    • Provide guidance and training to junior administrative staff

    • Assist with policy or procedure development and implementation

    Qualifications:

    • Associate or Bachelor’s degree preferred

    • 4–7 years of administrative or executive assistant experience

    • Advanced proficiency in Microsoft Office and other office software

    • Excellent judgment, initiative, and discretion

    • Strong interpersonal, communication, and multitasking skills

    • Experience supporting executive-level staff is a plus
