Vasquez Law Firm, PLLC, is a high-performance law firm built on family values, honesty, dedication, and a relentless fighting spirit – “Yo Peleo.” We are looking for a highly organized and proactive Administrative Assistant to support our CEO and leadership team with daily administrative tasks, scheduling, communication, documentation, and community outreach coordination. About the Role As an Administrative Assistant, you will play a key role in managing schedules, organizing communications, documenting interactions, and assisting with day-to-day office operations. You will also be responsible for coordinating community events and outreach initiatives, helping strengthen the firm’s presence and engagement within the Hispanic and broader North Carolina communities. Responsibilities: Key Responsibilities Calendar & Scheduling Management • Maintain and update schedules for the CEO and leadership team • Schedule and confirm appointments, meetings, and deadlines • Coordinate logistics for internal and external events Email & Communication Management • Monitor and organize email inboxes • Draft and respond to emails on behalf of the CEO and firm leadership • Prioritize urgent matters and ensure timely follow-ups Office & Administrative Support • Document interactions, meeting notes, and key action items • Organize and maintain digital and physical records • Assist with office management tasks, including ordering supplies and handling mail • Support internal communications between teams Community Events & Outreach Coordination • Plan and coordinate community events, workshops, and legal outreach initiatives • Serve as a liaison between the firm and community partners, nonprofits, and local businesses • Manage logistics for firm-sponsored events, including scheduling, marketing, and on-site coordination • Ensure a strong community presence by organizing sponsorships and networking opportunities Photo & Documentation Assistance • Capture high-quality photos of meetings, office activities, and community events • Assist in documenting firm activities for internal use and marketing purposes General Administrative Support • Handle confidential information with discretion • Conduct research and prepare reports as needed • Serve as a key point of contact for internal and external stakeholders Qualifications: Who You Are • Highly Organized – You have a keen eye for detail and can manage multiple tasks efficiently • Comfortable using scheduling tools, email platforms, and office software • Professional Discreet You understand the importance of handling sensitive information • Strong Communicator Excellent written and verbal communication skills • Adaptable Proactive You take initiative and anticipate needs before they arise • You notice the small things and ensure everything runs smoothly • Passionate about engaging with and giving back to the community Preferred Qualifications • Previous experience as an Administrative Assistant, Office Manager, or in a similar support role • Proficiency in Microsoft Office, Google Workspace, and scheduling tools • Experience in event planning or community engagement a huge plus • Strong writing and organizational skills • Bilingual (English/Spanish) is a huge plus • Ability to handle a fast-paced, high-pressure environment Compensation: $28,000 - $35,000
