Job Summary: We are seeking an organized and proactive Office Administrator to manage all office and administrative tasks. This is an onsite role in our Tampa (Carrollwood) office. The ideal candidate will be responsible for ensuring the smooth operation of our office and providing essential support to our public adjusters. Responsibilities: • Create and implement data entry protocols to streamline processes and increase productivity • Act as a point of contact for complaints or questions from customers and respond in a timely manner • Work to create marketing opportunities and plan events for our customer base in the community to improve company reputation and visibility • Plan office events and schedule arrangements for travel if necessary Key Responsibilities: • Send out Client Welcome Emails • Send out Letters of Representation to Insurance Companies • Manage incoming and outgoing mail • Manage email inboxes and update claims management software (ClaimWizard) • Properly file incoming documents via mail and email • Calendar deadlines and manage scheduling of inspections and mediations • Assist public adjusters with preparing correspondences to insurance companies, proofreading documents, and communicating with insurance company adjusters • Assist with new claims from initial intake to settlement • Manage incoming checks and follow up with settlement releases • Provide updates to clients and referral sources • Conduct weekly reviews of all claims to check status and compliance • Perform any other tasks needed to support the public adjusters • Attend company marketing events and business development Qualifications: • High school diploma or GED required, some college experience preferred • Customer service experience in our industry is preferred • Shows ability to quickly finish very detailed work • Display excellent written, problem-solving, and verbal communication skills • Navigates computer programs with ease to provide a quick front-desk experience for customers Compensation: $18 - $22 hourly
